Pricing guide for small businesses

Custom software development cost for small business: real numbers, not vague ranges.

Most guides tell you custom software costs somewhere between $20,000 and $250,000. That range is too wide to plan a budget around. This page explains what actually moves the price, what typical projects cost in the market, what you will pay every month after launch, and why our projects start at US$3,000.

The short answerTypical market quotes for a small-business system run from about $20,000 to $100,000, and platforms can pass $250,000.
The biggest driverHow much has to be built from zero: payments, accounts, reports and admin screens are where budgets disappear.
Our starting pointFrom US$3,000, because the common foundation already exists and runs in production.

What drives the cost

Six things decide what your custom software will cost.

Two projects with the same name, such as "a CRM" or "a client portal", can differ in price by a factor of ten. These are the variables that explain the difference. Know them before you ask for a quote.

01

Scope and number of workflows

Every screen, role and business rule is work. A tool that handles one process costs a fraction of one that runs sales, operations and billing together.

  • Number of user roles and permissions
  • Number of distinct processes
  • Exceptions and edge cases in your rules
02

Money movement

Payments, subscriptions, refunds, commissions and invoicing are among the most expensive features to build from scratch, because they must be exact and auditable.

  • Payment provider integrations
  • Recurring billing and renewals
  • Reconciliation and audit trails
03

Integrations

Each external system your software must talk to adds design, development and testing time, especially older systems without a clean API.

  • Accounting, shipping and email tools
  • Existing databases and spreadsheets
  • Data migration from the old system
04

Reporting and data

Dashboards look simple but depend on clean data underneath. The more decisions you want to make from the system, the more it costs to model the data correctly.

  • Role-based dashboards
  • Exports and scheduled reports
  • History and change tracking
05

Security and compliance

Handling payments, health data or financial records raises the bar for permissions, logging and infrastructure, and that raises the price.

  • Identity and access control
  • Data protection requirements
  • Audit logs
06

Team, location and pricing model

Typical market hourly rates run about $100–$200 for US agencies and about $40–$80 for nearshore teams in Latin America. Fixed-price projects need a clear scope; hourly work shifts the risk to you.

  • Where the team works and in which time zone
  • Fixed price vs. time and materials
  • Design expectations
Typical cost by project type

What small-business software usually costs in the market.

The ranges below are typical market ranges compiled from published agency pricing guides. They are not Disruptive Studio prices. Our projects start at US$3,000; the exact price of yours depends on the documented scope and on how much of it our platform already covers.

01Spreadsheet replacement or internal tool

Typical market: $5,000–$25,000. One process, a few roles, simple reports. Often the best first project.

02Client, vendor or partner portal

Typical market: $10,000–$50,000. Logins, documents, requests, status tracking and notifications.

03Custom CRM or sales platform

Typical market: $25,000–$100,000. Pipelines, quotes, follow-ups, goals and commissions tied to your sales process.

04Online store with custom logic

Typical market: $20,000–$100,000+. Custom pricing, bundles, subscriptions, multi-location inventory or B2B accounts.

05Operations or inventory system

Typical market: $30,000–$150,000. Purchasing, stock, fulfillment, approvals and multi-location control.

06Subscription or membership business

Typical market: $25,000–$120,000. Recurring billing, member accounts, renewals and payment recovery.

07SaaS product or multi-company platform

Typical market: $75,000–$250,000+. Multiple customers, plans, permissions and self-service onboarding.

08Integrations and automations

Typical market: $5,000–$30,000 per integration set. Connecting the tools you already use and removing manual data entry.

Why ours starts at US$3,000

You only pay to build what is unique to your business.

Most of the budget in a typical quote goes to parts every business needs: user accounts, permissions, payments, subscriptions, an online store, a CRM, reports and admin screens. An agency starting from a blank page charges you to build all of that again.

We build on our own platform, which already runs real operations for more than 35,000 users with payments, subscriptions, an online store, CRM and reporting in production. Your project reuses that proven foundation, so the budget goes to your workflows, your rules and your brand. That is how a project can start at US$3,000 instead of $30,000.

It works for almost any industry: professional services, retail, logistics, healthcare and wellness, real estate, financial services, direct sales and more. Read the full service on our custom software development page.

Proven in productionThe foundation already serves 35,000+ users, so core features are tested before your project begins.
Payments and subscriptions readyThe most expensive parts to build are already built.
Store, CRM and reportingAdapted to your process instead of rebuilt from zero.

Fixed scope before codeThe documented technical scope defines what is built and what it costs.
Monthly cost after launch

The build is not the last bill. Plan for the monthly one.

Software needs hosting, security updates, backups and fixes after it goes live. A common rule of thumb in the market is to budget 15–20% of the build cost per year for maintenance, plus hosting and any third-party licenses. On a $50,000 build, that is roughly $7,500–$10,000 a year before new features.

With us, the monthly plan starts at US$597 and includes hosting and platform maintenance. If documented functionality fails, we fix it. New features are quoted separately as your business grows, and usage-based services can generate additional charges.

How to reduce cost without cutting quality

Spend on what makes you different. Reuse everything else.

A lower price should come from less unnecessary work, not from weaker engineering. These steps lower the cost of almost any project.

Start with one process

Pick the workflow that costs you the most time or money today. Launch it, use it, then expand.

Document before building

A written technical scope prevents rework, which is the most expensive line in any software budget.

Reuse proven modules

Do not pay to rebuild logins, payments or reports. Build on a foundation that already works in production.

Custom software pricing questions

Direct answers.

How much does custom software cost for a small business?

Typical market quotes run from about $20,000 to $100,000 for a small-business system, and complex platforms can exceed $250,000. Our projects start at US$3,000 because we build on a platform that already covers the common features.

Why do agencies quote such different prices?

They assume different scopes, team locations and pricing models, and most start from a blank page. A written technical scope is the only way to compare quotes fairly.

What does the monthly fee include?

Hosting and maintenance of the custom platform, starting at US$597 per month. Usage-based services and new development requests can generate additional charges.

Is US$3,000 the final price of my project?

It is the minimum investment. The exact price depends on the documented technical scope, which is defined and agreed before development begins.

Is custom software cheaper than paying for several SaaS tools?

Often, when your team pays for many disconnected subscriptions and still works around them with spreadsheets. If an off-the-shelf tool already fits your process, keep it.

What happens if something fails after launch?

If documented functionality fails, we fix it. If the business needs something outside the final technical scope, it is a change and is quoted separately.

Do I own the code?

The code of your project is available on request. Ask about it during qualification so it is written into your scope.

Do you work with businesses in my industry?

Yes. We build custom software and websites for almost any industry, from professional services and retail to logistics, healthcare, real estate and direct sales. Your rules define the system.
